Assisted intake: notes, photos and documents
Tallify's assisted intake: photos, PDFs, Word files and typed notes read by a model on the practice's server and checked by the adviser. WhatsApp coming soon.
Photos, PDFs, Word files and typed notes uploaded in the console are read by a model on the practice's server. This is assisted intake, and there is no accuracy promise: the model can misread a figure or miss one. Check every figure in the review form against the source before you commit. The main path is the guided fact find, which the client completes and which is read by code. Use assisted intake for what does not come in that way.
Sending notes and photos from your phone over WhatsApp is coming soon. Until then, use the console on your phone (see Console upload).
When to use it
- Notes from a meeting with a client who has not completed the fact find.
- A paper form or a statement the client handed over.
- A note you want on file while you are away from your desk.
What you can send
- A photograph of a form or of handwritten notes, flat and well lit. Each photograph becomes its own intake.
- A PDF with selectable text. A scanned PDF with no text in it is refused; send photographs of its pages instead.
- A Word document (.docx).
- Typed notes, typed or pasted in the console. Put each amount next to its item, with the frequency when it is not monthly: "bond R 2 100 000, instalment R 21 500 pm, 4.5 years left"; "school fees R 48 000 per year, due January".
Something that holds fewer than three facts about a client is not turned into a client record. The intake fails and says so.
In the console
On the Intake tab, the New intake panel takes a photo, PDF, Word document or text file, or notes typed or pasted into the box. Choose Extract client facts. The status shows the job queued, then extracting, and the review form opens by itself when the read is done. See Console upload for tips and for deleting an intake.
Checking
- Open the intake on the Intake tab and choose Review. The Source link opens the original photo or file.
- Check every figure against the source, not only the flagged ones. Fields the second read disagreed with, or could not support from the source, carry a Check flag. Committing unlocks once every flag is checked.
- Choose Save and commit client to create or update the client. The advice then starts on the client's Advice tab; nothing is drafted by itself from an assisted intake.
Where it is read
The reading runs on the practice's server, and the photo or file is kept with the intake in the practice's vault. When the Record of Advice is drafted, identity is removed by code before anything is sent to Claude, as for every draft. See the Security page.
