What is Tallify?
Tallify is practice intelligence for South African financial services providers. It watches a practice's client book every day, drafts FAIS-compliant Records of Advice and financial needs analyses from meeting notes, and holds every client communication in an approval queue until an advisor sends it. It runs on a server the practice controls.
Who is it for?
Independent FSPs and small to mid-sized practices: CFP professionals, risk and investment advisors, paraplanners and compliance officers. It is priced per practice, so adding people costs nothing.
Is there an AI that can write a Record of Advice?
Yes. Tallify drafts a Record of Advice structured to section 9 of the FAIS General Code of Conduct, plus a matching financial needs analysis, from an advisor's meeting notes, photographed forms or documents. A draft takes roughly ten minutes and is emailed to the advisor as a Word document to review, edit and sign. The system never files a draft as a final advice record.
What do I have to give it to get a draft?
Meeting notes in any form: a photograph of handwritten notes, a Word document, a PDF, or typed notes. It extracts the facts, checks them a second time against the source, and lists anything contradictory or missing for the advisor to confirm.
Does Tallify give financial advice to clients?
No. It never sends advice to a client. It drafts documents for the advisor and prepares factual updates such as fund movement notices, which are only sent after a named advisor approves them. The advisor remains the FAIS representative giving advice.
Does Tallify send client data to ChatGPT or a cloud AI?
No identifiable data leaves the practice. Names, ID numbers, dates of birth, contact details and addresses are removed on the practice server and scrubbed from free text before a de-identified set of facts is sent to the drafting model. Document reading and extraction run on a local model on the practice server.
Is Tallify POPIA compliant?
It is built so that POPIA controls are structural: data minimisation before external processing, recorded consent enforced on every client communication, role-based access, an audit log of every change, and data residency on the practice's own server in South Africa. The practice remains the responsible party; Tallify makes the controls hold without relying on a policy document.
Where does it run: cloud or on-premise?
On a server the practice controls, in South Africa: on-premise hardware or a private server the practice rents. Advisors reach the console over a private network. There is no public login page and no multi-tenant cloud.
What does the daily monitoring actually do?
Every day it compares fund prices and drafts factual notices for clients affected by a material movement, and every week it compares each client's current cover with what they used to hold, by type, and briefs the advisor on gaps. Client notices wait for approval; the briefing goes to the advisor.
Does Tallify replace Xplan, Astute or my CRM?
No. It sits beside existing planning and administration tools, keeps its own registers so it can monitor the book, and imports from existing systems rather than requiring a migration.
How does the Astute integration work?
With the client's signed Astute consent, the practice can request a client's policies and investments at onboarding and before reviews, reconcile the result against the register, and refresh the book periodically. The integration is being built against Astute's API; contact us for the current status.
Can I import my existing client list?
Yes, from a spreadsheet export of clients, holdings and policies. Records are validated on import (dates, amounts, product and policy types) so the book starts clean.
What about fund prices?
Tallify is built to load a daily unit price feed from a South African data provider. Until a feed is licensed, prices can be loaded from the practice's own files.
Who can see what?
Roles are admin, advisor and read-only. A user can be scoped to one advisor and then sees only that advisor's clients across every screen, including approvals, intake and document downloads. Every change is logged against a named user.
Is it secure?
Private-network access only, HTTPS, hashed passwords with strength rules, rate-limited sign-in, session expiry, forced password change for temporary passwords, an audit log, twice-daily backups with permanent retention, and continuous monitoring. A written information security policy set is available to practices and their compliance officers on request.
What is a pilot?
A 30-minute walkthrough on a fictional demo practice, then a pilot on your own data, on your own server, for an agreed period. You keep the drafts and the registers whatever you decide.
How much does Tallify cost?
Priced per practice, not per seat. Pricing is confirmed after the pilot scope is agreed. Data feeds (Astute requests, fund prices) are licensed by the practice from the providers at their published rates.
Who builds it?
BlueBird Digital, a South African software studio. Tallify was designed with an advisory practice and is deployed practice by practice.
