The guided fact find and annual review
Tallify's online fact find as guided steps: one plain question at a time, how answers are saved and read by code, and the annual review in the same steps.
The fact find is done online only, as guided steps: one plain question at a time, so the client never has to think about where an answer goes. The client completes it from their onboarding link. What they send lands on the Intake tab, linked to their record, and the answers are read by code.
What the client answers
The steps follow the practice's fact find, segment by segment:
- About you (and, for a couple, the partner's answers right after the client's)
- Your family
- Your goals
- Money coming in
- Money going out
- What you own
- What you owe
- Your cover
- Retirement
- Your estate
- Documents
It ends with the declaration and a consent tick that names the practice. The client may leave anything they do not know blank, to be completed together at the meeting.
How the steps ask
- Yes or No is two big buttons; a choice is a set of tiles.
- A debt or an asset is picked by kind from tiles and asked only for what that kind has: a car loan has a repayment, a credit card has no term. A debt's repayment is asked once, on the debt.
- The salary is asked as take-home pay ("What is your monthly take-home pay from your salary?").
- Policies are asked one at a time, with their covers as toggles.
- An emergency fund goal asks how much is saved for it already; the retirement goal asks the age and the monthly income wanted in today's money.
- A South African ID number fills in the date of birth and shows the age. Rand amounts group their digits as they are typed and accept the way people write them, such as "R58 000,00".
- A short cheer marks each segment done (none when the device asks for reduced motion).
Saving and sending
Answers are saved on the client's device as they go, so they can close the page and carry on later on the same phone or computer. Nothing reaches the practice until they press Send at the end. The welcome page then shows the step as done.
To change something after sending, the client opens the step again and chooses Update my fact find. Their answers are filled in; they change what they need and send it again, and the latest version is the one the practice works from.
How the answers are read
The fact find becomes an intake on the Intake tab, linked to the client's record. Each answer is read by code into its field on the review form: no model reads the form itself, and every rand typed lands somewhere or is flagged. Written answers that need interpreting, such as a note, are read by rules first; what the rules cannot read is read by Claude with identity already removed (a practice may choose rules only), and anything left uncertain is flagged for you to check.
For a client already on the book, a fact find or review from their own link or email address, with the record's ID number and name, goes straight onto the record without the Intake step. A figure that would change the record waits in Changes as "Which one?", and every flag becomes an office task due that day. A prospect's fact find, and anything that does not check out, stays on Intake.
A fact find workbook a client still emails back is read the same way.
The annual review
Once a year the client gets a review link (Send review sheet on their row). It opens the same guided steps, pre-filled from the record: each item shows as "What we have" with Yes, still right or Change, and a question with nothing on file is asked as the fact find asks it. What changes reaches the record through the same reading, and the review asks for an ID or proof of address still missing. Review reminders go out as the review falls due; see Birthdays and review reminders.
The sign-up page
The same fact find is on the practice's address at /signup for someone who has no personal link. A submission from there is matched to a record by the contact details typed in, and the review form marks that match as unverified.
