Advice registers and signed documents

Versions, the signed upload, and retention.

Versions

Each client has a chain of Record of Advice versions. Filing a new one marks the previous version superseded; nothing is overwritten. The needs analysis register works the same way. The current version is the one the drafter refers to for a review.

Uploading the signed document

After the client has signed, use the Upload signed document panel on the RoA or FNA tab to attach the signed file to the register entry. The entry shows who filed it and when.

Retention

The FAIS Act and the Code require advice records to be kept for at least five years from the advice or the termination of the product. The register keeps every version for as long as the practice keeps the installation, and every version is in every backup.
