How client emails reach Tallify and how replies are drafted.
The advice mailbox
Each practice has an advice mailbox that Tallify polls. Mail is routed by sender: a reply from a registered advisor carrying an AD- reference is an approval decision; a message from an address on the client register is a client email.
Getting client mail into the mailbox
Either the advisor forwards a client's email to the advice mailbox (a mail rule can do this automatically while keeping the client as the sender), or the administrator registers the advisor's own mailbox for read-only scanning. Scanning reads only messages from addresses on the client register and remembers what it has seen; it changes nothing in the advisor's mailbox.
The drafted reply
The client's message is logged and a reply is drafted in plain language, in the advisor's name, on de-identified content, limited to factual and administrative matters. It appears in Approvals and in Activity as open thread.
The thread page
The thread shows the client's message and the draft. Edit the text, then Approve and send or Reject. Sent replies go out from the advice mailbox in the advisor's name with Reply-To set to the advisor, so the client's next message reaches the advisor directly.
